Overall Purpose of the Role

 

The role will support both the Levy HR and Resourcing teams by providing a range of administrative duties which includes liaising with external and internal stakeholders and candidates in line with the Levy approach to people.  The role is varied and will be divided as detailed below under Recruitment and HR.

 

Key Accountabilities

 

Recruitment

  • Support in locating, pre-selecting and screening candidates
  • Updating the internal recruitment system (Tripad) and maintaining other internal systems
  • Dealing with enquiries from external and internal stakeholders
  • Arranging interviews between hiring managers and potential candidates.  These will either by face to face interviews or via Teams
  • Collating feedback from hiring managers on all candidates interviewed in a timely manner
  • Chasing hiring managers for feedback on CV’s issued in order to reject or arrange an interview with candidates
  • Formatting of recruitment documentation and reports
  • Advertising vacancies both internally and externally
  • Liaising with candidates to provide interview feedback – both rejecting candidates and offering successful candidates
  • Undertaking recruitment checks to ensure compliance both with statutory and company requirements.
  • Ensuring reference checks are collated for successful candidates and shared with the line manager
  • Liaise with the Learning and Development team to ensure all new starters are booked onto a Levy induction call
  • Issue welcome gifts to new starters prior to their joining date

 

HR (including Learning & Development)

  • Set up induction plans for new starters ensuring diary dates are confirmed with all key stakeholders
  • Load vacancies on to the HR portal as directed by the HR Business Partner
  • Carry out exit interviews as directed by the Head of People
  • Act as notetaker on formal grievance and disciplinary meetings
  • Administer HR related documents and reports
  • Issue and manage the MGH (minimum guaranteed hours) contracts and database
  • Update and maintain the Medicash scheme register on a monthly basis
  • Support and liaison with the Business Excellence team to ensure the People Core Signatures (SOP’s) are up to date and any new core signatures are issued and included in the People pack
  • Assist with the maintenance and upkeep of the Mapal One Training Platform for the Levy and Constellation variable workforce
  • Assist with adding new starters, transferring team members and removing leavers on the Mapal One Training Platform 
  • Provide assistance with following up on outstanding training or onboarding paperwork to ensure compliance
  • Support in maintaining up to date and accurate training records for training courses and learning activities

 

 

Person Specification

  • Experience in working in a fast paced environment
  • A high level of interpersonal skills, capable of working collaboratively with team members and managing stakeholders at all levels of the organisation.
  • Be willing to travel and be flexible in their approach to work
  • High level attention to detail
  • Self-motivated
  • Highly organised with the ability to multitask and deal with changing priorities
  • Proactive with a “can do” attitude
  • Nice – have a friendly and approachable attitude
  • Diplomatic, discretion and impartiality of judgment – a high level of confidentiality
  • Computer literate
