Operations Support Manager

We are seeking a proactive and detail-oriented Operations Support Specialist to join our team on a full-time, permanent basis. This dynamic role provides operational, functional and administrative support to the team responsible for the Dining, Conferencing, Fitness and related colleague services delivered on behalf of our client in Dublin.

The role is dynamic and includes a wide scope of responsibilities; the successful candidate will be supporting with oversight of our operations and engaged in project planning and coordination for the delivery of our suite of 5* colleague and client services at our clients new headquarters. The candidate will also provide administrative support to the management team and assist with their day-to-day tasks

Key Responsibilities:

  • Provide daily operational, administrative, and functional support across the Dining, Conferencing, Fitness, Reception, and associated services delivered to the client.
  • Work onsite with the client’s approved vendors to ensure compliance with Health & Safety, Environmental, onboarding/offboarding, Third Party Risk and related policies.
  • Support the delivery of high‑quality services while driving continuous improvement and cost‑efficient operations.
  • Assist with project oversight for the WSC development, monitoring onsite timelines and coordinating future project requirements.
  • Liaise with UK project leads to ensure best practice is shared and embedded across all locations.
  • Support additional UK or cluster projects as required.
  • Provide project coordination including minute taking, data analysis, preparation of reports, presentations, and briefings.
  • Engage stakeholder groups to obtain feedback and support the implementation of agreed action plans.
  • Track progress of internal partner functions and escalate delays or risks where necessary.
  • Build strong working relationships with key support functions including Finance, Procurement, Shared Services, Security and Real Estate teams.
  • Measure service levels and KPIs onsite, contributing to continuous optimisation of operational processes.
  • Maintain and enhance the process flow library across all operational services, supporting consistency and best practice sharing across UK, Europe and MEA.
  • Develop knowledge of Event Management Software (EMS) and Virtual EMS to support on-site reception teams and act as a liaison with support teams for time‑sensitive issues.
  • Partner with the Events and Marketing team to support delivery of exceptional in‑house events.
  • Support management of online content, including updating internal platforms, webpages and communication tools.
  • Provide diary management and administrative support to the leadership team, ensuring priorities stay on track.
  • Champion innovation, operational excellence, and a culture of delivering exceptional service for all colleagues and visitors.

About You:

  • Experience in operational management within a fast‑paced, high‑standards environment.
  • Experience managing or supporting external soft‑service suppliers, including KPI oversight and understanding of commercial performance.
  • Strong organisational, analytical and problem‑solving skills with the ability to influence stakeholders outside your direct control.
  • Project management or project coordination experience is highly desirable.
  • A genuine passion for delivering excellent service.
  • Professional, composed, proactive and capable of sound judgement.
  • Strong communication skills and confidence working with senior stakeholders.
  • Higher education qualification is preferred, though candidates with exceptional relevant experience will also be considered.
