Levy UK&I is deploying a cutting-edge AI/ML workforce management tool (“WFMAIML”) across approximately 60 venues. The Project Coordinator will play a key supporting role, working closely with the Senior Transformation Project Manager, technical teams, venue managers, and third-party consultants to ensure smooth deployment, effective change management, and successful adoption of the new tool.
Role Purpose:
The Project Coordinator will assist in planning, coordinating, and executing deployment and change management activities. This includes supporting project tracking, stakeholder engagement, training, communications, and monitoring adoption across diverse venues.
Key Responsibilities:
- Support the Senior Project Manager in planning and coordinating deployment activities for the WFMAIML tool.
- Assist with project documentation, scheduling, and progress tracking.
- Coordinate logistics for training sessions, workshops, and venue rollouts.
- Help prepare and distribute communications and training materials to venue teams.
- Liaise with venue managers and staff to gather feedback, monitor readiness, and address concerns.
- Track adoption metrics and support the collection of feedback for continuous improvement.
- Assist in tailoring change management approaches for different venue types and operational cultures.
- Maintain project records, action logs, and risk registers.
- Support the organisation and facilitation of meetings, including SteerCos and technical working groups.
- Escalate issues and risks to the Senior Project Manager as needed.
Person Specification – Essential
- Experience supporting projects or change initiatives, ideally in a multi-site or operational environment.
- Strong organisational and coordination skills, with attention to detail.
- Excellent communication and interpersonal skills.
- Comfortable working with diverse teams and stakeholders.
- Proactive, adaptable, and able to manage multiple tasks simultaneously.
- Competent with Microsoft Office (Word, Excel, PowerPoint, Teams) and project management tools.
- Willingness to travel to venues as required.
Person Specification – Desirable
- Experience in hospitality, events, or venue-based operations.
- Exposure to technology or systems deployment projects.
- Understanding of change management principles and practices.
- Experience supporting training or communications activities.
Education
- Good general education (degree desirable but not essential).
- Project management or change management training/certification is a plus.
