Job Introduction
Job Purpose
To provide efficient administrative and operational support to the Security and Administration departments, ensuring that security operations, documentation, and office management tasks are carried out effectively and in accordance with company policies and regulatory requirements.
Key Responsibilities
Security Support
- Assist with the coordination and monitoring of on-site security operations and personnel.
- Maintain and update access control systems, ID badges, and visitor logs.
- Support the management of CCTV systems, incident reports, and alarm monitoring.
- Ensure compliance with security procedures and assist with internal audits.
- Coordinate with contractors and external security providers for maintenance or incident response.
- Help prepare security reports, risk assessments, and emergency response documentation.
- Administrative Support
- Provide general administrative assistance to the Security and Administration teams. Cover main DHL reception when required.
- Maintain accurate records, filing systems, and databases (both electronic and hard copy).
- Assist with scheduling,
- Process purchase orders, invoices, and other administrative documentation.
- Support onboarding processes for new staff, including issuing access passes and security briefings.
- Draft and distribute internal communications, notices, and security updates.
- Health, Safety, and Compliance
- Support the implementation of workplace health and safety policies.
- Participate in emergency drills and ensure all documentation is up to date.
- Ensure compliance with GDPR, data protection, and confidentiality standards.
Person Specification
Essential
- Proven experience in an administrative or security support role.
- Strong organizational and multitasking skills with attention to detail.
- Excellent communication and interpersonal skills.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Ability to handle sensitive information with discretion.
- Reliable, trustworthy, and proactive.
Desirable
- Knowledge of security systems (CCTV, access control, incident reporting software).
- Basic understanding of security or health & safety regulations.
- Experience working in a facilities management or corporate environment.
- First Aid or Security Industry Authority (SIA) certification (if applicable).
- Working Conditions
Standard office hours, with occasional requirement for early/late shifts or weekends depending on security needs.
May involve on-site presence during emergency incidents or drills.
