Role Summary:

 

This is a hybrid role based from our head office opposite Twickenham Stadium (3 days) and from home (2 days).

 

An opportunity is available for an innovative and experienced Senior Event Manager to join Keith Prowse, to manage and deliver the hospitality experience for up to 8,000 guests at the cinch tennis Championships.

 

You will be responsible for managing the design, delivery and on-day operations of the entire hospitality experience including but not limited to production, logistics, installation, on-site management, client and venue liaison, menu curation/food tasting and ticket allocation & fulfilment.

 

In your role you will be leading members of the team and working closely with management ensuring the implementation and vision of the hospitality offerings across an agreed portfolio is carefully managed to specified timelines, delivered within financial requirements and all contractual deadlines are adhered to.

 

This role would suit a very organised, proactive and driven Senior Event Manager who would like the opportunity to build and develop their skills and be responsible for the leadership, management and performance of all assigned events.

 

Day to day Accountabilities and Responsibilities:

  • To be the prime contact and provide day to day liaison with the venue, caterers and all stakeholders to set up, manage and deliver all hospitality packages
  • Design and delivery of all temporary overlay
  • Prepare and be accountable for event budgets, in liaison with the Finance team
  • Oversee the creation, monitoring and delivery of weekly sales reports and facility allocation reports to maximise profitability in liaison with the Event Sales Manager and venue
  • Individual 1-2-1s with direct reports on a weekly basis
  • Mentoring and development of direct reports
  • Ensure set up of all events, facilities and packages within XMS management system (in house stock management programme) with continual package and stock management
  • Be responsible for and compliant with all health and safety policies
  • Oversee and manage the on-day event management delivery to ensure a smooth and successful event
  • Oversee and monitor the creation of concise event table plans working closely with the venue and caterers
  • To be accountable for all ticket requirements, allocations and mark backs meeting all contractual deadlines and obligations in liaison with the venue
  • Manage and lead a team of full time and seasonal staff in conjunction with the Operations Manager
  • Organise and represent the Events Team in all operational venue meetings
  • Create, manage and oversee a Critical Path Analysis (CPA) of all key elements and time sensitive deadlines for all matches
  • Ensuring and creating Levy Restaurants ‘In Pursuit of Excellence’ document is up to date

 

  • Regular team meetings and 1-2-1’s with the Operations Manager
  • Oversee and monitor CRM case management, dealing with all customer queries to an agreeable outcome
  • Drive innovation, ensuring ideas are well researched, communicated and implemented
  • Manage and liaise with all suppliers to ensure accurate ordering within budget
  • Be responsible for and continually review innovation/product content for events to include mapping customer journey, market trends, competitor analysis and client walk through
  • Research food trends and work with the caterer to create menu offerings to meet package requirements
  • Attend menu and wine tastings and meetings with the caterer supported by Operations Manager and Hospitality Manager
  • Working with the KP Marketing Team and venue to create, design and deliver event documentation
  • Approve event factsheets, event documentation, event guides, menus and any other literature relating to the event
  • Support the business on tenders and proposals as and when required
  • Support the business with additional events as required
  • Assist with additional responsibilities as assigned by the Operations Manager or Head of Events & Development
  • Liaise and assist with customer requirements pre event, on-day and post event
  • Responsibility for additional duties for the Events Team to include, but not limited to; Health and Safety, supplier management and seasonal staff.

 

Person Specification

Essential:

  • Minimum 5 years operational experience working in an events/production company
  • Minimum 2 years’ experience of managing a team
  • Track record of working with temporary structures & managing overlay design and installation
  • Strong evidence of event management experience
  • Experience managing all aspects of hospitality including facility design & delivery, menu curation, ticket allocation & fulfilment, and on day management of entire experience
  • Maintains an active external network; is aware of current trends within the global hospitality industry and receptive to new ideas and opportunities
  • Ambitious and driven with a clear determination and belief to install these qualities to other team members
  • Strong management, budget, planning and control skills
  • Excellent communicator
  • Maintains an adaptable and flexible approach to all challenges
  • Strategic thinker and planner with the ability to bring together a variety of elements.
  • Disciplined, self-motivated and a high level of integrity
  • Team player with the ability to work on your own initiative
  • Word, Excel, E-mail and Microsoft Office experience
  • Efficient working method with a keen attention to detail
  • Ability to understand/navigate technical drawings/plans
  • A basic working knowledge of CAD
  • Knowledge of current H&S and CDM legislation relevant to the Live Events industry
  • Must be of a positive mind set and have resilience
