Job brief
We are looking for a responsible Administrator to organize the day-to-day operations of Redruth Facilities Limited at Longreach House. Your job will be to provide support to the SPC Manager and Maintenance Staff and co-ordinate daily maintenance activities, ensuring maintenance records are sorted and filed as appropriate.
The Administrator should be highly organized and able to multitask with ease. Our ideal candidate has experience in a relevant administrative role. You should also be familiar with office software (e.g. MS Office), with the ability to assist with compiling monthly reports for submission to our client.
The successful candidate must be comfortable working without supervision as the SPC Manager mainly works remotely. 
Responsibilities
  • Ensure Trust staff are updated on any maintenance activities, particularly those likely to cause disruption to wards.
  • Ensure all contractors have undergone a site induction and sign in when attending site.
  • Ensure all suppliers have up to date Risk Assessments for their day to day activities.
  • Ensure all maintenance records are kept up to date and available when required.
  • Maintain internal databases, including those of regular suppliers.
  • Prepare regular reports and presentations.
  • Organize, store and print company documents as required.
  • Handle queries from managers and employees.
  • Update office policies and ensure compliance with them.
  • Carry out condition monitoring of site assets and record using an on-line portal.

 
Requirements and skills
  • Proven experience as an Administrator or relevant role, preferably in a maintenance environment
  • Knowledge of office policies and procedures
  • Experience with office management tools (MS Office software, in particular)
  • Excellent organizational and time-management skills
  • Strong written and oral communication skills
  • Problem-solving attitude with an eye for detail
  • Ability to form strong working relationships with key stakeholders within the NHS Trust and Helpdesk.
  • Knowledge of Heath and Safety procedures would be advantageous.
