Job Introduction

An exciting opportunity to join our team in Oxford, overseeing all events on campus from small meetings to large conferences. 

You take full responsibility and accountability for the planning and execution of client events which may be internal or external.  
The role will involve you liaising with relevant departments and managing a motivated, trained team. You will ensure budget targets are achieved. The ideal candidate will be customer focused and financially astute to achieve company and client objectives.

Focus Areas:

Operations

  • To ensure that all company quality standards in every aspect of the operation are adhered to at all times
  • To effectively communicate company standards to your team and monitor adherence to these standards. Deliver effective, motivational and informative pre-shift briefings to team members
  • To ensure that the opening and closing procedures of the department are adhered to at all times
  • To make certain that all on site documentation is completed to the agreed standard and timescale and that an effective system is in place for the filing, storage and retrieval of all document. This includes but is not limited to H&S sign offs, Duty Manager checklists and other daily departmental sign offs that occur through the business.
  • Actively deal with customer comments in a positive manner
  • To lead by example and ensure members of the team wear the correct, full and clean uniform whilst on duty
  • To respond to the pace of the business; remain productive during busy periods
  • To report all maintenance issues and hazards as per the Company Health and Safety Manual.
  • To build and maintain relationships with sponsors, contractors, partners, key clientele and suppliers as per the needs of the business
  • To actively take the lead on the events that are allocated to you by the Contract Director.r This includes independently carrying out staffing plans, bespoke orders, attending pre-conferences with the relevant stakeholders and liaising with suppliers directly to tailor an event to the client’s needs and deliver operational excellence.
  • To ensure accurate and up to date communication is maintained with the relevant stakeholders in any event operation allocated.

 

Health & Safety:

  • To maintain H&S compliance and be involved with the H&S meetings
  • Work with the onsite HSE champion to ensure Silver standards are delivered and maintained
  • To ensure H&S training is completed in accordance with legal and company requirements
  • To personally demonstrate that you take responsibility for your own health and safety and that of others
  • To ensure compliance with all H&S processes throughout the venue and business
  • To report, and where possible take action for, any incidences of fire, damage, loss, refrigerator breakdowns or other occurrences

Recruitment, Training and Engagement:

  • Effectively communicate theCompass culture to all employees within the venue
  • Promote a cooperative work climate, maximizing productivity and morale
  • Where instructed, to recruit, interview and select suitable new recruits for the site, ensuring that budgetary constraints are observed at all times
  • To ensure that all new team members are inducted, trained and developed to ensure that the highest levels of efficiency within the operation and customer service are employed at all times
  • To engender good staff, customer and client relations at all times
  • To ensure that all staff are trained in a timely manner in all areas of food hygiene and health and safety, ensuring that training record cards are duly signed
  • To ensure that meaningful performance reviews are carried out on all staff as per the needs of the business and that personal development plans are written and subsequently followed up on a regular basis
  • To identify employees with potential for development and promotions within the operation, ensuring the correct development and training opportunities are given.
  • Likewise, to identify employees who are under performing and manage their performance systematically in an effort to improve and develop them
  • Where instructed, to engage and discipline staff as laid down in the Company HR Manual
  • To ensure that the Compass Support Line is utilised when activating disciplinary procedures
  • To ensure that all disciplinary issues are discussed with the Operations Manager & General Manager before progressing with disciplinary procedures

Who you are:

We are seeking candidates with the following skillset

  • Extensive experience in a demanding, high volume, multi-purpose venue
  • Management experience within Conference, Banqueting and Events
  • Managerial experience in leading and inspiring operational teams to deliver results.
  • Time management is key along with the ability to work with short and long-term deadlines as well as identify key milestones within event preparation and execution.
  • Ability to build relationships with a range of internal / external clients and stakeholders
  • Ability to lead others with differing levels of experiences, a diverse experience
  • Engaging, enthusiastic, sociable and motivated
  • Ability to make decisions to benefit the business and exceed client expectations
  • Able to influence and operate at all stakeholder levels
  • Knowledge of and experience within Food, Beverage & Service Industry
  • Experience of working within and the ability to support and drive a changing environment. 
  • Experience of working with and managing large teams 
  • Computer Literate
  • Excellent written and verbal communication skills
