We're currently recruiting a dedicated Event Planning Administrator to help ensure the smooth running of the operations in Levy on a full time basis, contracted to 40 hours per week.

The Event Planner Administrator at the SEC provides comprehensive support for conference and event catering through administrative, design, and planning tasks. Responsibilities include creating allergen-compliant menu guides, designing menus on Canva, managing portal orders, updating stand catering, processing payments, handling billing, and assisting with pricing sheets. The role also supports the sales team with catering sheets, event paperwork, and planning small-scale events, while collaborating with the kitchen to ensure smooth catering operations.

Specific Duties Include:
  • Menu & Allergen Management: Collaborate with culinary teams to create allergen-compliant menus and design visually appealing menus using Canva.
  • Internal Portal Management: Oversee orders, maintain pricing, images, and details, and update backend for stand catering and internal portal.
  • Payment & Billing: Process payments, handle weekly billing, and follow up with clients on payments. Support sales team with billing and credit card logs.
  • Pricing & Spec Sheets: Assist in preparing and maintaining pricing spec sheets for catering and drink packages.
  • Sales Support: Aid the sales team by providing catering sheets, event paperwork, BEOs, menus, and place cards.
  • Event Planning: Support the planning and execution of small-scale and internal events, working closely with the kitchen and attending weekly meetings.
  • Customer Service: Address client requests, ensuring effective communication with culinary teams, sales, and clients.
  • Miscellaneous: Perform additional administrative tasks and provide out-of-hours support when needed for events.
What we are looking for: 
  • Education: Bachelor's degree in hospitality management, event planning, business administration, or a related field preferred.
  • Experience: 2-3 years in event planning, catering coordination, or a similar administrative role, with experience using Canva for menu design and managing backend systems for catering services.
  • Technical Skills: Proficiency in Canva, Microsoft Office (Word, Excel, PowerPoint), and experience with internal portal systems for managing orders and updates.
  • Administrative Skills: Exceptional organization and attention to detail in handling multiple tasks, including menu guides, pricing spec sheets, and billing processes. Ability to maintain backend systems effectively.
  • Communication Skills: Excellent written and verbal communication for collaborating with teams and clients, with a strong customer service focus in following up on payments and requests.
  • Event Planning: Experience assisting in small-scale event planning, preparing event paperwork (BEOs, menus, place cards), and ensuring materials are ready in advance.
  • Collaboration: Proven ability to work closely with kitchen staff and other stakeholders to ensure smooth event execution, with a proactive team-player mindset.
