The Wedding & Social Events Coordinator will conduct proactive and reactive sales activities to ensure conversion rates are optimised and financial targets are met for the wedding market segment. This role involves managing the entire customer journey from the initial enquiry through to the wedding day, ensuring a high standard of service and seamless execution. The ideal candidate is entrepreneurial, self-motivated, and driven to succeed in a sales environment, with a strong commitment to building customer relationships and maximizing wedding revenue through an in-depth understanding of the local and national wedding market.

 

Key Responsibilities

  • Sales Activities:
    • Conduct reactive sales activities, including responding to telephone and email enquiries.
    • Create and deliver proposals for clients within budget and time constraints.
    • Follow up on all enquiries within a specific time frame to convert into confirmed bookings.
    • Secure venue show rounds, coordinate and execute them.
    • Co-ordinate and attend showcases 
    • Achieve agreed sales targets by driving conversion and upselling strategies.
    • Support the Sales Manager in leading the wedding strategy for the venue. 
  • Customer Relationship Management:
    • Be the client's first point of contact throughout the enquiry, conversion, and lead-up to the wedding.
    • Ensure all details and requirements of confirmed bookings are accurately communicated to the Operations Team.
    • Enhance the overall wedding customer experience.
    • Account manage third-party wedding relationships and source wedding event partners.
    • Establish and maintain good working relationships with the wider team. 
  • Administrative Duties:
    • Responsible for all brochure requests and production of accurate proposals
    • Issue contracts to customers once bookings are confirmed.
    • Ensure all deposits and invoices are paid in line with company policy 
    • Administer and communicate detailed event orders and supporting documents to ensure first class delivery by operations team.
    • Maintain accurate, up-to-date reports and information using the Delphi FDC booking system.
    • Ensure feedback calls are made and recorded, with continuous improvement plan in place 
  • Strategic Development:
    • Work with the Sales Manager to develop innovative wedding packages and seasonal promotions.
    • Support the Sales Manager with the digital marketing strategy for the wedding market segment.
    • Communicate potential leads to the wider group.
    • Support innovative campaigns for the Sales and Marketing plan.
    • Develop and maintain knowledge of market trends and competitor activities to inform strategy.
    • Attend local/national FAM trips and showcases as opportunities arise.
    • Perform ad hoc tasks as directed.

  

Essential Experience

  • Extensive wedding sales experience within the UK events industry.
  • Proven track record in achieving KPIs and producing sales plans and targets.
  • Comprehensive understanding of all aspects of wedding event planning and operational delivery of events.
  • Experience in a Sales & Events role within the hospitality industry.
  • Strong numerical and analytical skills.
  • Proficiency in Word, Excel, and Microsoft Office.
